Can You Get Your Data Out of Your Roofing CRM?
October 17, 2026 · 7 min read
Most roofing companies do not stay on their first CRM forever. The price goes up, the crew stops opening it, or the company outgrows it — and then the real question shows up: can you actually get your data out? Your contacts, job history, photos, estimates, and invoices are the working memory of your business. If they are trapped inside a system you are leaving, switching stops being a software decision and becomes a risk. That is why data export and data ownership are headline questions on the comparison pages of the big roofing platforms — and why you should ask them before you buy, not just before you leave.
What "your data" actually includes
When vendors say "your data," they often mean a contact list. For a roofing company, the record that matters is much wider:
- Homeowner contacts: names, addresses, phone numbers, and email addresses
- Job history: every job, the stage it reached, and what it was worth
- Estimates you sent — the scope and price a homeowner agreed to
- Photos and photo reports: inspection evidence, production documentation, and the file you would need for a supplement or a warranty call
- Invoices and payment records: what was billed, what was paid, and what is still owed
- Insurance details on storm jobs: carrier, claim number, adjuster, and approval status
- Notes: the conversations, decisions, and promises that never made it into a formal field
An export that only covers the first line of that list is not really your data back. Ask about each category separately, because the answer is often "yes" for contacts and much vaguer for documents, photos, and history.
The questions to ask before you switch — or before you buy
- Can I export my data myself, or do I have to request it — and how long does a request take?
- What format does the export come in? Contacts and job lists should come in a spreadsheet-readable format you can open without the vendor's software.
- Are photos, documents, estimates, and invoices included, or only contact and job fields?
- Is there a fee to export, or a fee to keep read-only access after I cancel?
- How long do I keep access after cancellation — and what exactly happens to my workspace then?
- Who on my team is allowed to export? On a well-run system, that should be controlled by role, not available to every login.
- Can I do a test export before I commit to leaving, so I can see what actually comes out?
Judge the answers, not just the words. A clear, specific answer — format, timing, what is included — is a good sign. "You won't want to leave" is not an answer; it is the answer, and it tells you to keep your own records especially carefully.
Export before you cancel, not after
The safest sequence is boring on purpose. First, run the export while your account is fully active and you still have normal access. Second, open the files and check them: do the counts look right, do the active jobs appear, can you read the format without the old software? Third, download your documents, photo reports, estimates, and invoices separately if they are not part of the main export — do not assume they are. Only then set a cutover date: new jobs start in the new system, active jobs get recreated at their current stage, and the old export becomes your archive for warranty questions and insurance files that surface months later.
Running both systems briefly during the switch is normal practice, but give it an end date. Parallel systems with no cutover turn into double entry, and double entry is how one of the two records quietly stops being true.
What a clean switch looks like for a small company
You do not need to recreate your old CRM inside the new one. Move the active jobs at the stage they are actually in, bring over the contacts and history you exported, and keep the old export as a read-only archive. Trying to rebuild every custom field and workflow from the old system is the part of switching that eats weeks — and it usually recreates the complexity you were leaving. If the new system is built around a fixed pipeline, there is nothing to redesign before your crew can use it: the stages are the stages.
How GableFlow handles your data
GableFlow's position is stated plainly on our pricing page: your data is yours — export what you need before you cancel, and we will remove your workspace on request. We don't hold data hostage. You can also request an export or deletion at any time by contacting us, as set out in our privacy policy. That stance is part of why GableFlow is built the way it is: one pipeline (Lead → Prospect → Approved → Completed → Invoiced → Closed), with branded estimates, photo reports, and invoices and payments on the job record, team roles for owner, admin, manager, and user — at $40 a month flat, every feature included, unlimited seats, with a 7-day free trial. Frequently asked questions
Can you get your data out of a roofing CRM?
It depends on the platform, which is exactly why you should ask before you buy and test before you cancel. Ask what can be exported, in what format, whether photos and documents are included, whether there is a fee, and how long you keep access after cancellation. A vendor should be able to answer all of that specifically.
What data should I make sure I can export?
At minimum: homeowner contacts, job history with stages and values, the estimates you sent, photos and photo reports, invoices and payment records, insurance claim details on storm jobs, and job notes. A contact list alone is not your business history.
What format should a CRM export come in?
Contacts and job data should come in a spreadsheet-readable format you can open and move without the vendor's software. Documents, estimates, invoices, and photo reports should come as files you can store and re-open years later — warranty calls and insurance supplements have a way of arriving long after a job closes.
Should I export my data before or after I cancel?
Before — while your account is active and your access is normal. Open the export and verify it (record counts, active jobs, readable files) before you cancel anything, and download documents and photos separately if they are not part of the main export. Exporting after cancellation turns a routine step into a negotiation.
What happens to my data if I cancel GableFlow?
Your data is yours. Export what you need before you cancel, and we will remove your workspace on request — we don't hold data hostage. You can request an export or deletion at any time by contacting help@gableflow.com. See pricing for the full cancellation terms alongside the $40/month flat price.
How hard is it to switch to GableFlow?
The simplest switch is to start new jobs in GableFlow and recreate your active jobs at their current pipeline stage, rather than rebuilding every setting from your old system. GableFlow is built around a fixed six-stage pipeline (Lead → Prospect → Approved → Completed → Invoiced → Closed), so there is no custom workflow to design first. A 7-day free trial lets you run a real job through it — see features for what is included.
